Option 2 Web-based Mental
Health / Counselor Billing
With this option:
-You must have Internet access at the
office and/or at home.
-You have a very
low initial investment. You pay a $100 set up fee per provider to us and may be able to use a free months trial
of the web based software subscription to get started.
-You have a very
low cost for the software. After the free trial
expires, you pay a low monthly software subscription (with options less than $30 per month) to one of the web-based services we utilize. $30 per month is much less than the combined cost of
software maintenance and clearinghouse fees for most PC based billing software.
-You may use the service from any
computer with Internet access.
-You may use a mobile phone or device such as
a Blackberry to use the service. You can have all your client's contact information easily and
immediately available to you on your cell phone or PDA, almost anywhere you go.
-You have immediate access to data and
can print your own reports or statements, or enter any of your own charges if you prefer, at any time you wish.
-We recommend to you a service designed especially for
therapists, which you can easily learn with minimal computer
skills or technical knowledge. You can easily moniter your accounts receivable, number of visits, cash flow and
earnings of the practice. You can do any part of the billing that you might prefer to do yourself, such as occasionally printing
a walkout statement for a client at the time of service.
-Your data is protected and backed up by
the web based service.
-You, your biller, your receptionist, or any other authorized
user can access the data at the same time without having to network computers in your
office.
-Authorization tracking is provided
within the web-based system to help you make sure you get the necessary authorizations to get paid.
-No one has access to your computer except
you. Your biller and you each log into your database on a web based service provider's website. There is no need to
give your biller access to your computer.
-We do those tedious, time consuming tasks
therapists usually don't like to do: the time consuming data entry, claims filing and repeated follow-up on
rejected/denied claims. We can save you many hours of your time, so you are free to see more clients, make more money, and enjoy
creating your ideal practice.
-As with all our options, your claims are filed
electronically with most insurance companies. So you get paid as soon as
possible.
Cost Example of the Web-based Option for a Small Therapy Practice 50 visits per month:
You have paid your one time provider set up fee of $100 and you pay a $29.95 monthly fee to the web=based service for unlimited
claims. This month you have done 45 visits with established clients who already have been entered in the system last month and you
have also seen 5 new clients for assessment visits that must be added to the database. A few clients are private pay, most have
primary insurance to file, and 5 visits have secondary insurance to file. We would bill you as follows:

$4.75 x 45 = $213.75 (accounting and primary insurance filing)

$6.00 x 5 = $30.00 (new patient set up)

$4.75 x 5 = $23.75 (secondary insurance filing)
Your monthly invoice for the web-based package would
be $267.50, without any additional
services.

If your
average collections are $100 per session, your invoice is
comparable to 5.35 % of
collections . That is less than three of your lost billable hours.

If your average
collections are $80 per session, your invoice is comparable to 6.69% of collections. That is less than four of
your lost billable hours.

Cost Example of the Web-based Option for a Full-time Therapy Practice 100 visits per month:
You have paid your one time provider set up fee of $100 and you pay a $29.95 monthly fee to the web=based service for unlimited
claims. This month you have done 90 visits with established clients who already have been entered in the system last month and you have
also seen 10 new clients for assessment visits that must be added to the database. A few clients are private pay, most have primary
insurance to file, and 10 visits have secondary insurance to file. We would bill you as follows:

$4.75 x 90 = $427.50 (accounting and primary insurance filing)

$6.00 x 10 = $60.00 (new patient set up)

$4.75 x 10 = $47.5 (secondary insurance filing)
Your monthly invoice for the web-based package would
be $535.00, without any additional
services.

average collections are $100 per session, your invoice is
comparable to 5.35 % of
collections . That is less than six of your lost billable hours per month.

collections are $80 per session, your invoice is comparable to 6.69% of collections. That is less than seven
of your lost billable hours per month.
